Extra customers per month from leads you miss today

Add your new leads and the share you miss today to see this. It is not included in the money figures.

How we calculate this
  • Hours saved = tickets × share fully answered × minutes ÷ 60 = 2,000 × 30% × 15 ÷ 60 = 150
  • Staff cost saved per month = hours saved × cost per hour
  • Chatbot cost over 6 months = (tool + WhatsApp message fees) × 6
  • Net result = staff cost saved over 6 months − chatbot cost over 6 months
  • Simple ROI = net result ÷ chatbot cost × 100
  • Extra customers = new leads × share you miss today × your conversion rate. This assumes a lead answered by the chatbot converts like one your team answers.

This is an estimate from your inputs, not a forecast. It leaves out setup time and the time your team spends reviewing the chatbot’s answers.

How to calculate WhatsApp chatbot ROI

A chatbot pays for itself in two ways: it answers questions your team would otherwise answer, and it replies to leads when no one is free. The first is easy to measure. The second depends on your sales, so the calculator keeps it separate.

1. Support time saved

Take the tickets the chatbot can answer from start to finish, multiply by the minutes each one takes today, and you have the hours it frees up. Multiply by what an hour of agent time costs you and you have the value of that time.

For example, with the starting values above: 2,000 tickets × 30% × 15 minutes ÷ 60 = 150 hours a month. At $22 an hour that time is worth $3,300 a month. Change the share to 60% and both figures double. That is why the share is an input and not a fixed number.

2. Leads you answer that you miss today

If people message you at night or while your team is busy, some never get a reply. Count them for a month. A chatbot that answers them gives you more chances to sell. The calculator applies your own conversion rate to those leads and shows extra customers, not revenue.

3. What it costs

Add the chatbot tool’s monthly price and any WhatsApp message fees from Meta. Subtract the total from the staff cost saved. If what is left is positive over six months, the chatbot has paid for itself on support time alone.

What changes your result

  • How repetitive your questions are. Prices, opening hours, delivery areas, order status and booking a slot are easy for a chatbot. Complaints, refunds and custom quotes are not. The more of the first kind you get, the higher the share it can answer.
  • Whether the chatbot can see your data. A bot can only answer “where is my order?” if it can look the order up. Without that, it can only collect the details and pass them on.
  • A clear handover to a person. Set rules for when the chat goes to your team: the customer asks for a person, the question is about money, or the bot has not solved it after a few replies. A bad handover costs more than it saves.
  • What an hour of your team’s time costs. The same hours saved are worth more where wages are higher. Use the full cost, not just the salary, if you want the real figure.
  • Whether saved time is used. Hours saved become money saved only when your team spends them on other work, or you need fewer new hires as you grow.

WhatsApp message fees from Meta

Since 1 July 2025, Meta charges per message for WhatsApp Business messages. Template messages are charged by category (marketing, utility and authentication) and by the recipient’s country, and Meta updates its rate cards from time to time.

For a support chatbot this matters less than it sounds. Replies sent inside the 24-hour customer service window, which opens when a customer messages you, are free. Utility templates sent inside that window are free too. Fees mostly come from messages you start yourself, such as reminders, follow-ups and promotions.

Check the current rates for your country on Meta’s WhatsApp pricing page, estimate how many template messages you send in a month, and enter the total in the calculator.

How to measure it after you launch

Write down these four numbers for the month before you switch the chatbot on, then compare each month after:

  1. 1. Tickets the chatbot closed. The share of chats it resolved without a person stepping in.
  2. 2. First reply time. How long a customer waits for the first answer, day and night.
  3. 3. Agent hours. Time your team spent in chats, from your inbox reports or timesheets.
  4. 4. Leads and sales from chatbot chats. Tag these so you can see how many became customers.

Put your real numbers back into the calculator. The estimate becomes a measurement.

FAQ

WhatsApp chatbot ROI FAQ

Is this WhatsApp chatbot ROI calculator free?

Yes. It is free, runs in your browser and needs no sign-up. Nothing you type is sent to us or saved.

How do you calculate WhatsApp chatbot ROI?

Hours saved = monthly tickets × the share the chatbot fully answers × minutes per ticket ÷ 60. Staff cost saved = hours saved × hourly cost. Over 6 months, subtract the chatbot tool and any WhatsApp message fees. ROI % is that net result divided by what you paid, times 100.

What share of tickets can a WhatsApp chatbot answer?

It depends on your business, which is why it is an input you set. Look at last month's chats and count the ones that were repeat questions with a known answer, such as prices, opening hours, order status or booking a slot. That share is a fair starting point. If you are unsure, start low.

Does the calculator include Meta's WhatsApp message fees?

Yes, as an input. Since 1 July 2025 Meta charges per template message, by category and by the recipient's country. Replies inside the 24-hour customer service window are free, and so are utility templates sent inside that window. Check Meta's WhatsApp pricing page for your rates and enter your expected monthly total.

Why doesn't the calculator assume a lift in leads?

Because any lift depends on your business, and a generic percentage would only make the result look better. Instead you enter the share of new leads you miss today, for example messages that arrive after hours and get no reply. The calculator applies your own conversion rate to those leads.

Are saved hours the same as saved money?

Not always. Saved hours become saved money when your team spends that time on other work, or you need fewer new hires as you grow. Treat the staff cost figure as the value of the time freed up.

How much does FOXAF cost?
